There is no single universal QuickBooks CSV layout for every import. Customer, supplier, item, chart-of-accounts, bank, invoice, and journal workflows can ask for different columns. QuickBooks Online and desktop products also differ, and available imports can change by country or subscription. A header list copied from an unrelated tutorial can therefore be perfectly formatted and still be wrong for your screen.
Use this guide as a preparation method, not as a substitute for Intuit's current instructions. Sign in to the intended company, open the exact import workflow, and download its sample file when one is offered. That sample is your target contract.
Identify the exact import job
Write down the QuickBooks product, company, country, and record type before editing data. Confirm whether you are adding new records, updating existing records, or importing transactions. Those jobs carry different risks. A customer list may rely on names and contact details, while a transaction import may depend on account names, dates, amounts, and balancing rules. If the file is a contact list for a CRM rather than QuickBooks, use the HubSpot contacts CSV import guide instead. If it is a customer list for a Shopify store, use the Shopify customers CSV import guide.
Back up or export the relevant QuickBooks data before a material import. If a test company or sandbox is available, use it first. Imports can create records that take time to reverse even when the CSV itself is easy to regenerate.
Build the target from the current template
Copy the template header row exactly. Keep its order unless the import screen explicitly says order does not matter. Mark required fields, supported date forms, character limits, and lists of accepted values. If the screen lets you map columns during import, the template still helps you understand which destination fields exist and which are mandatory.
Do not assume that familiar labels are interchangeable. Name, Company, Display Name, and Customer may describe different fields. Account names can require an exact existing value. Tax and currency choices may be limited by company settings. MapMyCSV can place a source value under a requested header, but it cannot decide which QuickBooks account or tax treatment is correct.
QuickBooks starter headers
MapMyCSV can fill the target header row with one of six starter lists so mapping can begin. These are starting headers, not a guaranteed import contract. Product, region, and record type still vary. Headers observed August 2026. Re-check in your company.
Each pack below is labeled starting headers - confirm against the sample in your company.
- Bank 3-column (Intuit-documented):
Date,Description,Amount. starting headers - confirm against the sample in your company. - Bank 4-column (Intuit-documented):
Date,Description,Credit,Debit. starting headers - confirm against the sample in your company. - Customers:
Full Name,Company,Email,Phone,Mobile,Fax,Website,Street,City,State,ZIP code,Country,Opening Balance,Opening Balance Date,Resale Number,Currency. starting headers - confirm against the sample in your company. - Vendors / suppliers:
Full Name,Company,Email,Phone,Mobile,Fax,Website,Street,City,State,ZIP code,Country,Opening Balance,Opening Balance Date,Tax ID,Currency. starting headers - confirm against the sample in your company. - Chart of accounts:
Number,Name,Type,Detail Type. starting headers - confirm against the sample in your company. - Products / services (items):
Name,SKU,Type,Sales Description,Sales Price/Rate,Income Account,Purchase Description,Purchase Cost,Expense Account,Quantity on Hand,Inventory Asset Account,Quantity as-of Date. starting headers - confirm against the sample in your company.
A starter list only fills the mapper's target box. Paste or replace those names with the header row from the sample in your own import screen before you treat the file as ready.
Worked example: a bank export before and after
Bank uploads are the one QuickBooks Online CSV import where Intuit publishes the columns. Its help asks for either three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit). Most bank exports carry extra columns and different names, so the upload fails or maps badly. The two files below are synthetic samples made for this guide, not real bank data. Download them, run them through the free preview, and compare with the after files.
Three-column: the export already has a signed amount
Before: bank-export-signed-amount-sample.csv has six columns: Transaction Date, Post Date, Payee / Memo, Category, Amount, Running Balance. Money out is already negative, which is what Intuit asks for in the three-column layout.
- Drop the file in MapMyCSV and pick the Bank 3-column starter, or paste
Date,Description,Amountas the target. - The mapper suggests
Transaction Datefor Date andAmountfor Amount. It finds nothing for Description, so choosePayee / Memoyourself. Post Date,CategoryandRunning Balancehave no target, so they don't appear in the output.
After: quickbooks-bank-3-column-after-sample.csv
Date,Description,Amount
2026-10-01,Opening deposit from owner,2500.00
2026-10-02,Coffee beans wholesale order,-184.20
2026-10-05,Card sales settlement,642.35
2026-10-07,Electric utility autopay,-121.48
2026-10-09,Market stall fee,-75.00
2026-10-12,Card sales settlement,518.90
Four-column: the export splits money out and money in
Before: bank-export-money-in-out-sample.csv has Date Posted, Transaction Details, Reference, Money Out, Money In, Balance. Each row has a value in only one of the two money columns, and the other cell is blank, which matches Intuit's four-column rule.
- Pick the Bank 4-column starter, or paste
Date,Description,Credit,Debit. - The mapper suggests
Date Postedfor Date. ChooseTransaction Detailsfor Description. - Choose the two money columns. Intuit's own four-column example puts a payment under Credit and a deposit under Debit, so this sample maps
Money Outto Credit andMoney Into Debit. Your bank's labels may read the other way, which is why the two-row test below matters.
After: quickbooks-bank-4-column-after-sample.csv
Date,Description,Credit,Debit
2026-10-01,Opening deposit from owner,,2500.00
2026-10-03,Coffee beans wholesale order,184.20,
2026-10-05,Card sales settlement,,642.35
2026-10-08,Electric utility autopay,121.48,
2026-10-09,Market stall fee,75.00,
2026-10-13,Card sales settlement,,518.90
The preview will say all six rows need attention, because every row has a blank Credit or Debit cell. For this layout the blank is correct: Intuit asks you to leave the unused cell empty. The warning doesn't block the download.
What the mapping step doesn't fix
MapMyCSV renames, reorders and drops columns. Intuit's bank upload help lists a few more rules that you check yourself:
- Cells holding only a zero in Amount, Credit or Debit should be blank. The samples have none, but many bank exports write
0.00. - Description shouldn't contain numbers, so the sample keeps check and ACH references in a separate column that isn't mapped.
- Dates need one consistent format. Intuit recommends dd/mm/yyyy; MapMyCSV writes year-first dates like
2026-10-01. Confirm QuickBooks reads them correctly in a test upload. - A date column with the weekday attached, like
20/11/2022 TUE, has to be split first. - The US help says the file must be in English and 350 KB or less. Break a large export into shorter date ranges.
Before uploading a whole month, upload two rows, one payment and one deposit, and check in For Review that each landed on the right side with the right date. Then upload the rest.
Can QuickBooks import a bank CSV on a schedule?
Not from what Intuit documents. Its help describes CSV upload as a manual step you repeat when you have new transactions. The automatic, scheduled updates it describes are for bank accounts connected to QuickBooks Online, not for uploaded files. If your bank can connect, that feed is the scheduled path. If it can't, plan on a manual upload each period. MapMyCSV doesn't change that either: it prepares the file in your browser and doesn't connect to QuickBooks.

Map the sample in the free preview, then try your own bank export. Ten mapped rows are free; the full CSV is $29 once.
Map source fields carefully
Start with exact matches, then review clear business synonyms. A source Customer Email may map to a target Email. A source Invoice Total should not automatically map to an amount field until you confirm whether the destination expects gross, net, tax-exclusive, debit, or credit values.
Read several values beneath every proposed match. Column names can be misleading. A field called Ref might contain invoice numbers in one export and internal database keys in another. The general CSV column mapping guide provides a review sequence for uncertain matches.
- Remove report titles, page totals, subtotals, and footer notes that are not records.
- Resolve every required target column without using a convenient but uncertain source.
- Confirm that account, tax, currency, class, and location values are allowed in the destination.
- Preserve external IDs and references as text when leading zeros matter.
- Keep the untouched source and save a separate prepared output.
Handle dates, numbers, and identifiers
Use the date format stated by the current import instructions and consider locale. The text 03/04/2026 can mean March 4 or April 3. An unambiguous year-first value such as 2026-04-03 is easier to review, but you should use it only when the target accepts it.
Keep identifiers separate from amounts. Invoice code 000129 should usually retain its zeros. Amounts need a consistent decimal separator, and currency symbols or thousands separators may or may not be accepted by a particular workflow. Parentheses for negative values are readable to people but are not guaranteed to parse as negative numbers. See the CSV dates and leading zeros guide for preservation checks.
Validate with a small import
Compare the prepared header row against the downloaded template. Count source and output records. Check required fields for blanks and inspect names containing commas or apostrophes. Select a small, representative batch that includes ordinary records and one or two edge cases. If the workflow provides a preview, inspect each mapped destination field there.
After the test import, open the created records in QuickBooks. Confirm dates, amounts, account assignments, names, references, and tax behavior. A message saying the file was accepted does not prove that every semantic choice was right. Review the import log and save any rejected row details before retrying.
Use MapMyCSV for the structural step
When the source and target headers differ, MapMyCSV can rename, reorder, and map the columns in your browser. If the source is still an Excel workbook, drop the spreadsheet; do not save-as-CSV first. Paste the header row from your current QuickBooks sample as the target, inspect suggested matches, correct any wrong pairing, and review the first ten rows free. Mapping and preview stay in the browser. A one-time $29 payment unlocks the full mapped CSV download.
The final responsibility remains with the importer. Review the output, follow the current QuickBooks instructions, keep a backup, and test a small batch before using the complete file.
FAQ
Is there one universal QuickBooks CSV import format?
No. Customer, supplier, item, chart-of-accounts, bank, invoice, and journal workflows can require different columns. QuickBooks Online and desktop products also differ, and available imports can change by country or subscription. A header list copied from an unrelated tutorial can be perfectly formatted and still be wrong for your screen. Use the sample template from the exact import workflow in your company.
Why does the wrong QuickBooks import type matter more than messy data?
Each import screen expects its own record shape and required fields. A clean customer list will still fail if you feed it into a bank or journal import. Identify product, company, country, and record type before editing columns. Confirm whether you are adding records, updating records, or importing transactions.
Are MapMyCSV QuickBooks starter headers a guaranteed import contract?
No. The six starter lists (bank 3-column, bank 4-column, customers, vendors, chart of accounts, products and services) only fill the mapper target box so mapping can begin. Headers observed August 2026. Product, region, and record type still vary. Paste or replace those names with the header row from the sample in your own import screen before you treat the file as ready.
Should I use the bank 3-column or 4-column QuickBooks CSV layout?
Use the layout your import screen documents. Intuit-documented bank starters MapMyCSV can fill are Date, Description, Amount (3-column) or Date, Description, Credit, Debit (4-column). Confirm against the sample in your company. Do not mix Amount with separate Credit and Debit columns in the same file unless that screen allows it.
Can QuickBooks Online import a bank CSV on a schedule?
Not from what Intuit documents. Its help describes CSV upload as a manual step you repeat when you have new transactions. The automatic, scheduled updates it describes are for bank accounts connected to QuickBooks Online, not uploaded files. MapMyCSV prepares the file in your browser and doesn't connect to QuickBooks.
Why does the MapMyCSV preview flag blank Credit or Debit cells?
The preview marks every empty target cell as missing. In the four-column bank layout each row uses only one of Credit or Debit, and Intuit asks you to leave the other cell blank, so that warning is expected there. It doesn't block the download.
Does MapMyCSV connect to QuickBooks or submit the import for me?
No. MapMyCSV is not affiliated with or endorsed by Intuit. It does not connect to QuickBooks, submit files, validate company-specific accounting choices, or guarantee acceptance. It helps restructure a CSV to the target headers you provide. You still run the import in QuickBooks and review the import report.
What should I paste as the target headers in MapMyCSV?
Paste the header row from the current sample file or CSV import template on the exact QuickBooks import screen you will use. Keep order unless that screen says order does not matter. Prefer your company template over a starter list or a tutorial copied from another region.
Do my QuickBooks source files leave the browser in MapMyCSV?
No. Mapping and preview run in the browser. That matters when exports contain client or payroll data. If the source is still an Excel workbook, drop the spreadsheet rather than saving as CSV first. MapMyCSV does not upload your rows to a remapping server.
What does the $29 unlock include for QuickBooks CSV prep?
The free preview shows the first ten mapped rows. A one-time $29 payment unlocks the full mapped CSV download. There is no subscription or account. Review the output, follow current QuickBooks instructions, keep a backup, and test a small batch before importing the complete file.
How does this guide relate to the general CSV column mapping guide?
This page owns QuickBooks-specific import-type identification, company sample templates, and starter header packs. The general CSV column mapping guide owns the reusable process: destination template first, map by meaning, validate before import. Use both when headers differ and you need a reviewable remap before the QuickBooks import.
